How Much Does a Chatbot Cost for a Business in 2026

How Much Does a Chatbot Cost for a Business in 2026

It is 10:30 pm. Someone lands on your website, has a question and types it. Nobody is there. Tomorrow, when you open, that message will still be there, but the person will not: they have already asked somewhere else. Before looking at what a chatbot costs, think about what that scene, repeated every night, is costing you. That said, here are the real prices, no fluff.

In Spain, an AI chatbot for a business falls into three market ranges: from 69 euros a month for basic templates, 80 to 250 euros a month for AI subscriptions, and anywhere from a few hundred to 1,500-5,000 euros or more for custom projects with integrations.

These are typical ranges in the Spanish market in 2026, not a fixed rate card: within each range, the exact price depends on how many channels the bot covers, whether it touches your calendar or CRM, and how many conversations it handles per month. If you need something custom with integrations (calendar, CRM, payment gateway), the initial setup usually runs from a few hundred euros to 1,500-3,000 euros, and a complex custom conversational platform can reach 1,500-5,000 euros or more.

Why is there such a price gap between one chatbot and another?

Because "chatbot" isn't one single thing. A bot that answers the same 10 questions about opening hours and location has nothing to do with one that checks your calendar in real time, books an appointment, logs it in your CRM, and notifies your team on WhatsApp. Price follows the actual work the bot does, not the "AI-powered" label attached to it.

That's why you'll find a 69-euro-a-month offer next to a 3,000-euro setup quote, and neither one is automatically a scam or a rip-off. They're usually different products solving different problems.

Market ranges: what each one includes

Type of solutionMarket range (Spain, 2026)What it usually includes
Basic template69-290 euros (monthly or one-off)Predefined answers, one channel (usually web), no integration with your systems
AI subscription80-250 euros/monthMore natural conversation, one or several channels (web, WhatsApp), support scaled to message volume
Custom project with integrationsSetup from a few hundred to 1,500-3,000 eurosConnects to your calendar, your CRM, or your payment gateway; the bot takes action, not just replies
Custom conversational platform1,500-5,000 euros or moreComplex logic, multiple flows, deep integrations, built to scale with the business

These are market ranges observed among Spanish providers in 2026, not prices from a fixed catalogue: they're here so you know which league you're in before asking for a quote.

What pushes the price up or down?

  • Channels: web only is cheaper than web plus WhatsApp plus Instagram at once.
  • Integrations: connecting to your calendar, your CRM, or your payment gateway means extra work that gets billed separately.
  • Conversation volume: handling 50 messages a month isn't the same as handling 5,000.
  • Languages: answering only in Spanish is not the same as also covering English, French, or German.
  • Template vs. custom: a template barely adapts to your business; a custom build is made for your specific case.

Does it pay off compared to hiring someone?

This is where it helps to put the number in context. A part-time person to handle WhatsApp, answer calls, or manage the calendar costs noticeably more per month than any of these subscriptions, and they only work during their shift. A chatbot doesn't replace human contact across the board, but it does take care of repetitive questions and after-hours bookings, which is where most businesses quietly lose customers.

The real question isn't "how much does a chatbot cost", it's "how much is it costing me right now to not have one": calls you miss, messages answered too late, appointments lost because nobody replied in time.

How do you know which price range fits you?

It comes down to three concrete things about your business: how many messages you get per month, whether the bot needs to touch your calendar or your CRM, and how many channels you want to cover. With those three answers, the real range narrows down fast, no surprises.

  1. Count how many repetitive queries you get per month via WhatsApp, web, or phone.
  2. Decide if the bot only needs to inform, or also needs to book, charge, or update your CRM.
  3. Work out how many channels you want covered (web, WhatsApp, Instagram) from day one.

Once that's clear, the next step is having someone look at your specific case and tell you, straight up, which range you fall into and why.
